Donor Privacy Policy

This policy describes how The Equality Network Corporation (“TENOK”) handles information associated with online and offline gifts, including cash and checks. It supplements our Privacy Policy.

Information associated with a gift

We maintain information you or the donation service provide to identify and administer a gift, such as your name and contact details, donation amount and date, fund designation, payment status, and recurring-gift information. Offline gifts may create receipt, deposit, and accounting records. Online payment services collect payment information through their own checkout systems.

Our services include Squarespace Payments, PayPal/Venmo, and ActBlue. The available payment options and requested information are shown when you give. Do not send full payment-card numbers, banking credentials, or account passwords through ordinary email or the Contact form.

How we use donor information

We use donor information to process and acknowledge gifts, issue receipts, manage recurring donations, answer questions, handle refunds and cancellations, and maintain accounting and legally required records.

Donors are automatically added to TENOK’s updates and fundraising communications. You can ask to stop these communications at any time by emailing info@tenok.org, or use an unsubscribe link when one is included in a message. Necessary receipts and communications about an existing gift may continue.

Sharing and public disclosure

The Equality Network Corporation does not publish donor names unless disclosure is required by law. We disclose donor information when required by law and to third-party platforms and service providers that support our nonprofit operations. Those providers process information under their applicable policies and agreements.

Our online payment and fundraising services include Squarespace Payments, PayPal/Venmo, and ActBlue. See the Squarespace Privacy Policy, PayPal Privacy Statement, and ActBlue Privacy Policy. Our main Privacy Policy describes other website and Contact-form services.

Not publishing donor names does not mean that TENOK or the payment service has no transaction record. Identifying information may be necessary to process and document a gift.

Your preferences and donation questions

Email info@tenok.org to update contact information, ask about a gift, request a correction or deletion, or stop fundraising communications. We may need enough information to verify your request. Some records remain necessary to administer gifts or meet legal obligations.

To cancel future recurring gifts or request a correction or refund, email info@tenok.org with your name and the email address used for the gift. A recent donation date and amount can help us locate it. No reason is required to cancel future recurring gifts. See our Terms of Use for the complete refund and cancellation procedures. Canceling future gifts does not automatically refund completed donations.

Retention and protection

We keep donation transactions, receipts, refunds, and cancellation records for seven years after the related annual or tax filing is due or filed, whichever is later. Where no filing is required, we count from the end of the relevant fiscal year. Restricted gifts, grants, property records, and records subject to an audit, legal requirement, or dispute may need to be kept longer. Foundational organizational records are kept permanently.

We ordinarily delete routine inquiries two years after resolution or the last meaningful contact, unless they become part of a record requiring longer retention. We keep limited preference records when needed to honor requests about communications. Records maintained by independent service providers may be subject to their own retention practices.

No method of transmitting or storing information can be guaranteed completely secure. Use the payment service’s checkout for payment details and contact us if you believe donor information has been mishandled.
